A4 vs foolscap filing cabinets: match the folders to the rails

Most of your documents may be printed on A4 paper. That does not prove that your existing suspension folders—or the cabinet you need—are the A4 filing format.

Get the short answer

Short answer

A4 and foolscap filing cabinets differ in the suspension-file formats their rails support. Check the folder’s hook span and the cabinet’s compatible rail arrangement. Some cabinets can support more than one format, but only with the correct supplied fittings.

Choose on purpose

Which option fits which situation?

01

Choose A4 filing when the existing suspension folders and the cabinet’s specified rails are compatible.

02

Choose foolscap filing for the corresponding folder format; A4 paper inside a folder does not identify its hanging dimensions.

Put it in a real room

The old folders are staying; the cabinet is changing

A business replaces a worn cabinet but keeps its existing files. The purchase brief should name the suspension format and show a sample folder’s hanging dimensions. Ordering an A4 cabinet simply because the documents are A4 could create a folder-replacement job that was never budgeted. A quick compatibility check before purchase is easier than transferring a room full of records twice.

Know what is being compared

A

A4 filing cabinets

An A4 filing cabinet is designed or configured for the relevant A4 suspension-folder format. The paper dimensions inside the folder are not the same as the folder’s overall hanging dimensions.

B

Foolscap filing cabinets

A foolscap filing cabinet is designed or configured for the generally wider foolscap suspension-folder format. It may hold A4 documents inside those folders; that does not turn the hanging system into A4.

See the difference

The suspension files hang on different rail spans

Measure between the rails and check the exact folder and cabinet specification before ordering. The figures shown are a practical visual guide, not a universal promise for every manufacturer.

Illustration comparing an A4 suspension filing drawer at approximately 330 millimetres with a wider foolscap suspension filing drawer at approximately 387 to 390 millimetres
A4 and foolscap describe compatible suspension filing formats. Always confirm the exact rail spacing and fittings for the cabinet being considered.

The details that change the decision

01

Paper size and suspension size are different measurements

A suspension folder includes a pocket and hanging bars or hooks. Those fittings need to bridge the cabinet rails correctly. Measuring only the sheet of paper inside the folder misses the part that determines whether it hangs properly.

If replacing a cabinet while keeping the files, take a representative folder as your starting point. Check the product marking where available and measure the hanging span. Send those details to the supplier rather than ordering from the paper size used by the office printer.

02

Do not identify the format from cabinet width alone

External dimensions can suggest a type, but they are not a reliable compatibility test. Different carcasses, drawer designs and internal rail systems can occupy different amounts of space. A wide cabinet may also support more than one filing direction.

Manufacturer specifications are more useful. Bisley, for example, distinguishes A4 and foolscap configurations in its filing information. Use the exact model specification and supplied fittings rather than applying one brand’s measurements to every cabinet on the market.

03

Adjustable rails only help when the parts are present

Some units can accept alternative formats or orientations using removable rails, crossbars or other fittings. A used cabinet may no longer include those accessories. Ask what is installed now and what is included to make the intended arrangement work.

Test a sample folder if possible. It should hang correctly, slide as intended and allow the drawer to close without catching. Do not bend hooks or improvise supports to make the wrong format appear to fit. Confirm a supported solution with the supplier.

Specification example

One manufacturer, two different cabinet widths

Bisley’s UK Office Filing specification gives these external dimensions for its BS ranges. These are product examples, not universal folder or rail measurements.

Check Option or calculation What it tells you
BS foolscap range 470 mm external width 622 mm external depth
A4 BS range 413 mm external width 622 mm external depth
Difference in external width 57 mm Does not specify the hook span for another cabinet

Use the model code to find the correct filing specification, then match the folder’s hanging format. Do not turn these outer widths into a rule for another brand or a different Bisley range. A lateral cabinet can also arrange files in a different direction.

When retaining old folders, send the supplier a photograph of one hanging bar with its markings and a measurement of the hook span. If conversion rails are required, confirm they are included and supported for that drawer before ordering.

Before ordering

Five checks worth doing

  1. 01 Identify the existing folder format or product code.
  2. 02 Measure the hanging span rather than only the paper pocket.
  3. 03 Confirm the exact cabinet model and current rail arrangement.
  4. 04 Check that all conversion rails or crossbars are included if needed.
  5. 05 Try a representative folder and test drawer movement and closure.

Clear answers

Frequently asked questions

Can A4 paper go in a foolscap folder?

Often yes. The important cabinet compatibility question concerns the folder’s hanging format, not only the documents inside it.

Will A4 suspension files fit a foolscap cabinet?

Not necessarily. They require a compatible rail arrangement or supported fittings. Confirm the exact cabinet.

How do I check which suspension files I already have?

Look for the format or product code on a folder, measure its hanging-bar hook span and compare that with the cabinet specification. Do not identify the hanging system from the paper size alone.
